Farm pickup app vs spreadsheet
Every direct-sale farm starts in a sheet. For raw milk, egg route, or CSA operations with about 10–60 weekly customers, the question is when Sheets stops being enough — and what actually improves pickup morning.
Side-by-side
| Job | Spreadsheet | My Farm |
|---|---|---|
| Today's pickup list | Scan rows; easy to miss changes | One screen: day, quantity, paid / confirmed |
| Day-before reminders | Copy-paste texts by hand | SMS from your farm number, one tap |
| YES / SKIP replies | Update cells yourself | Replies update the day sheet |
| Who paid | Separate tab; drifts from schedule | Cash, Venmo, Stripe links in one place |
| Vacation holds | Notes you forget at load time | Off the pickup list until they return |
| Customer self-serve | They text or call you | Portal link for holds & history |
| Herdshare paperwork | Separate docs / folders | Agreements + signatures in-app |
| Cost at under ~10 customers | Free and usually enough | Trial then a small monthly fee |
When to stick with a spreadsheet
- Under ~10–12 weekly customers
- Almost no day-of changes or vacation skips
- You are fine sending reminders manually
- Payments are simple (cash / Venmo) and rarely disputed
When to switch
- You are copying the same text 12+ times before pickup
- Wrong quantity or forgotten hold wastes product
- Payment status lives in a different tab (or head)
- You want customers to pause / pay without calling you
Common questions
Is a farm spreadsheet still okay?
Yes — if you have fewer than about 10–12 weekly customers and changes are rare. The pain usually shows up between 12 and 20 members, when one missed text or wrong quantity starts costing real milk and time.
What does a farm pickup app do that Sheets can't?
It surfaces today's route automatically, sends SMS reminders, tracks YES/SKIP, records payments, and applies vacation holds without you rewriting cells every week.
Can I import customers from a spreadsheet?
Yes. Most farms paste or import names, phones, products, and pickup days, then switch reminder and payment workflows to the app over a week or two.
Will I still keep a spreadsheet for accounting?
Many farms do. My Farm owns pickup day, SMS, and pay links; you can still export or record payments in QuickBooks or your bookkeeping sheet.
Does this work for egg routes and CSA as well as raw milk?
Yes. Onboarding presets products and copy for dairy/herdshare, egg routes, and CSA boxes — same schedule and reminder flow.
